Summary
A. Responsible for the overall processing activities for FINANCING Unit
B. Ensure adherence and compliance to all internal policies/guidelines and external regulatory requirements
C. Initiate process improvement and controls in process flow/ procedures

 

Duties and Responsibilities


Operations- Pre processing

a. Perform preliminery checking on documents/ applications prior to submission (special request by customers)
b. Receive application via email from the branch/ direct documents at TO counter
c. Perform initial checking against customer’s letter offers & follow-up with relevant parties (customer, BU’s etc) for incomplete
transactions i.e info/docs./approval
d. To make sure compliance checking i.e. Dow Jones, AMLCFT & Paynet done before proceed for approval.
e. Check for Shipping line authenticity & conformity (if applicable) via Shipping tracking system (PurpleTrac) before proceed with
approval.
f. Process daily applications received to ensure comply with the bank’s policies and procedures, SLA (Service Level Agreement
(SLA’s), BNM Guidelines and International Ruling.


Operations- Data entry
a. Perform data entry in TFBO system on day to day operations.
b. Check, sign and scan supporting trade documents to approval folders for further approval.
c. Perform approval in TFBO system on day to day operations

 

Operations- Post processing
a. Mail/fax a confirmation letter/advice etc to the respective parties for the approved transaction (customer/branch/etc.)
b. Sign contract note and B/E draft
c. Arrange documents for returning to customer (if requested by customers only)
d. Forwarded approved docs to Trade Support & Admin’s temporary Shared Folders for filing
e. Update ITIS info/ documents for foreign currency transaction (if inquired by Finance Dept).
f. To update E-stamping register (if applicable).

 

Administrative/ General
a. Deal and liaise with internal and external trade clients on all trade related matters including inquiry, advice, feedback and complaint
related to FINANCING unit.
b. Participate in reviewing product manual and internal procedure as to improvise daily efficiency and minimize operational cost to the bank.
c. Participate in current system and product enhancement, as and when required by Trade Support & Admin.
d. To response on any outstanding items in FOREX statement, PAYMENZ acceptance, RENTAS and SWIFT manual.
e. To perform SAC activities on monthly basis
f. To ensure “Zero defect” while processing of trade applications.
g. To ensure “Zero Financial Loss” while processing of trade applications.
h. To record and follow-up of any pending transactions in the SNAG Register and Pending Register until resolved
i. To monitor and follow-up on related reports for FINANCING
j. To initiate new processes/ enhance current processes to improve delivery of trade transaction
k. To attend 16hrs formal training & debrief within 14 days after returning from the training.
l. To complete Individual Development Plan (IDP)
m. To perform surprise checking for bunching invoice/ summary invoice applications periodically.
n. Assist Trade Support & Admin team to follow up with branches via telephone on submission of long-pending ABI certificates.
o. To participate in Trade/ Bank Welfare activities/ societies.
p. To participate in BCP & Call tree exercise

 

Support Business Units /Trade Initiatives
a. To assist clients under OAM portfolio to smoothen and resolves operational requirements
b. To update LO template under OAM portfolio timely.
c. To visit including JV or call clients under OAM portfolio as and when required
d. To submit timely report on activities done
e. To assist other trade units (if needed).

 

Others
a. Any other duties/assignment as and when directed/assigned by the superior/ AGM or HOD as per business requirement from time to
time
b. To ensure adherence and compliance to all internal policies, guidelines and external requirements.
