Responsible to help and keep an organisation and divisional running smoothly
Duties and Responsibilities
Normal Secretarial Duties: - Handle and organize daily routine including maintaining the daily calendar, appointment and meeting schedule.
- Screening phone calls, emails enquiries and booking of meeting rooms; Answer all incoming calls within 3 rings.
- Read emails, update, alert & remind GCFO (Handle incoming mail and other material)
Organize and coordinate meetings both internal and external; ensuring GCFO is well-prepared with document required for meetings.
- Attend to visitors; request any refreshments required, logistic arrangements for meetings.
Record all PRM / Invoices / MEMO / CAPEX Forms / Letters and indicating the date of receipt, number of receipt issued, amount, from whom received, and return back after CFO's Approval.
- Monitor OPEX/CAPEX Budgeted & Unbudgeted (2019)
Office Administration: Proper Maintain filing system and assuring accurate document filing for easy access & retrieval;
- Assist team members in Printing Financial Report for MANCO
- Updating Organization Chart for Group Finance
- Recruitment Partner (2021)
Liaising with IT Security & Helpdesk - on installing new id for new staff; IT matters on LAN, Internet;
- Assist external like KPMG on password for server (IT), Access card (HR);
Making the necessary arrangements to send out, Letters / Documents, Notebook / Calendars / Greeting Card;
